Gradebook
The Gradebook is the central workspace for recording, auditing, and finalizing student academic scores across all class groups assigned to you.
Where to find it: Navigation Menu → Gradebook
1. Navigating to the Gradebook
When you first open the Gradebook, you'll see a two-step selector:
- Choose a Group — this loads the enrolled students for that class.
- Choose an Assignment/Test — the specific assessment you want to grade.
Once both are selected, the grading grid loads automatically.
When you create an Assignment or a Quiz on the Assignments & Quizzes page, the system automatically creates a corresponding empty column in the Gradebook for every student in that group. That column remains blank (no score) until you fill it in after reviewing student submissions. You don’t need to do anything extra — the column is created automatically and waits for you in the Gradebook.
2. The Grading Grid
The grading grid works like a spreadsheet:
- Rows: Each row represents one student.
- Columns: Each column represents an assessment (e.g., Unit 3 Test, Homework 2, Term A Oral Exam).
- Grade Cells: Click any cell to begin entering a numeric score.
- Keyboard Navigation: Use Tab to move to the next cell horizontally, or Enter to move down vertically — this lets you grade an entire group without touching the mouse.
Grade Color Indicators
Each cell changes color automatically based on the score entered:
| Color | Score Range | Level |
|---|---|---|
| 🟢 Green | 18 – 20 | Excellent |
| 🔵 Blue | 15 – 17 | Very Good |
| 🩵 Light Blue | 12 – 14 | Good |
| 🟡 Orange | 10 – 11 | Marginal Pass |
| 🔴 Red | Below 10 | Fail |
3. Adding a New Assessment Column
For every new test, quiz, or homework task:
- Click the "+ New Assessment" button at the top of the grid.
- Enter the Title (e.g., Chapter 4 Test) and the Max Score (e.g., 20).
- Choose the Type: Written Test, Oral Exam, Homework, or Quiz.
- Click "Create". A new empty column appears in the grid.
4. The Grade Publishing Workflow — Step by Step
This is the most critical step. Entering a score into a grid cell does NOT make it visible to students or parents automatically.
Each assessment column has one of two states:
| State | Meaning | Who Can See It |
|---|---|---|
| 📝 Draft | Scores entered, grading still in progress | ❌ Only you (teacher) |
| 👁️ Published | Grades finalized and released | ✅ Students & Parents |
How to Publish Grades — Step by Step
- After entering all student scores in a column, look at the column header.
- Click the "Publish" button (eye icon or labelled "Publish Grades").
- A confirmation modal appears — click "Confirm".
- The column switches to Published status and automatic alerts are sent to students and parents.
Unreleased draft grades are the most common reason parents report missing scores on their portal dashboards. Always ensure you click "Publish Grades" once your grading review is complete.
5. Editing or Correcting a Published Grade
If a grade needs to be corrected after publishing:
- Click directly on the grade cell you want to change.
- Enter the new value.
- The column automatically reverts to Draft status for review.
- Click "Publish" again to make the updated value visible.
Every change to a published grade is automatically logged in the student's academic record with a timestamp and the name of the user who made the change.
6. Exporting Grades
You can download grade data for offline archiving or parent distribution:
| Format | Use Case |
|---|---|
| Excel (.xlsx) | Full group grade spreadsheet for statistical analysis |
| PDF — Progress Reports | Printable individual report cards ready to send to parents |
The export button is located in the top-right corner of the Gradebook panel.
