Student Attendance
Tracking student attendance is critical to academic performance and safety monitoring. The teacher portal lets you log attendance status quickly, record precise late arrival times, and resolve pending attendance gap warnings.
Where to find it: Navigation Menu → Attendance
1. Recording Attendance per Class Session
As a session begins or ends, you must log the status of each enrolled student:
- Select the Group and the specific Date & Time Slot of the session.
- A list of enrolled students will appear with three status options:
- Present: The student is in class.
- Absent: The student is not in class.
- Late: The student arrived after class started.
- Click "Save Attendance" to finalize the sheet.
Recording Late Arrivals
When selecting the "Late" status, an additional input field appears to record the minutes late (e.g., 15 mins). This is valuable for auditing lost classroom instruction time.
2. Excused Absences & Log Notes
If a student is absent but the parents have notified the school:
- Mark the absence as "Excused" next to the status selector.
- Use the "Notes" text field to document the reason (e.g., "Doctor appointment — mother called in").
- Excused absences do not count against the student's overall attendance rate metrics.
Depending on your institution's configuration settings, saving an absence (especially an unexcused one) may trigger an automated SMS or email notification to the student's parents in real-time.
3. Attendance Gaps
An Attendance Gap is created when a scheduled class session on the calendar has passed, but no attendance sheet was saved by the teacher.
- Where they appear: Surrey warnings show up on your Dashboard (in the To-Do Rail) and at the top of the Attendance page.
- Why they matter: Unfilled gaps block accurate compliance reports for administration and parent portal updates.
- How to resolve: Click on the gap alert, complete the student attendance checklist for that slot, and save. The gap warning is cleared instantly.
