Grade Management
As a School Administrator you have full oversight of grades across all class groups. You can audit whether teachers have published their grades, make emergency edits, and export progress reports.
Where to find it: Monitoring → Grades
1. Grade Overview
When you open the Grades page:
- Select a Group to audit.
- The system displays all assessments created by the teacher for that group, each with a status:
| Status | Meaning |
|---|---|
| 📝 Draft | Teacher is still entering grades — NOT visible to parents/students |
| 👁️ Published | Grades are finalized and visible to students and parents |
2. Administrator Role (Read-only Oversight)
Entering, modifying, or creating grade columns is performed exclusively by teachers via their Teacher Portal.
The School Admin Grades page is read-only. This means:
- You cannot click grid cells to input or modify student grades.
- You cannot add new assessment columns from this dashboard.
- When a teacher creates a new homework assignment, quiz, or project, the system automatically populates a blank column in the group's Gradebook roster. The teacher is responsible for filling in this field.
Grade Color Indicators
Although the panel is read-only, the system color-codes scores to assist in oversight monitoring:
| Color | Score Range | Level |
|---|---|---|
| 🟢 Green | 18 – 20 | Excellent |
| 🔵 Blue | 15 – 17 | Very Good |
| 🩵 Light Blue | 12 – 14 | Good |
| 🟡 Orange | 10 – 11 | Marginal Pass |
| 🔴 Red | Below 10 | Fail |
3. The Publishing Workflow — What You Need to Know
Grade publishing follows a two-tier authority model:
- The Teacher enters scores and clicks "Publish" to release them.
- Depending on your platform configuration, publishing may require admin approval before grades appear on parent portals.
If approval mode is enabled on your platform:
- Grades submitted by the teacher appear with a "Pending Approval" status badge.
- Click "Approve Publication" to make them visible to students and parents.
Grades that remain in Draft status are never visible to parents. If a parent reports that they cannot see grades on their portal, always check first whether the teacher has clicked "Publish". This resolves the vast majority of reported missing grade issues.
5. Exporting Reports
Export grade data for official documentation and parent distributions:
| Format | Use Case |
|---|---|
| Excel (.xlsx) | Full group grade spreadsheet for statistical analysis |
| PDF — Individual Progress Cards | Printable branded report cards per student (includes school logo) |
| PDF — Group Summary Sheet | Consolidated class score summary for admin filing |
The "Export" button is in the top-right corner of the Grades page.
Individual PDF progress cards can also be published digitally to the student's profile, allowing parents to download them directly from their portal — eliminating the need for physical distribution.
