Attendance Management

The attendance page allows school administrators to monitor and record daily student attendance in groups, exams and events. It provides a consolidated view of presence, absence, and excused absences.

Where to find it: Monitoring → Attendance. The page is headed "Attendance Monitoring".

Day Attendance

The Day Attendance screen lists every group and exam of one day in a single list ordered by time, so you do not open each group separately. The roster of the item you select opens on the right.

Where to find it: Monitoring → Attendance → Record Attendance. On the Dashboard, under Today's Schedule, Record attendance opens the same screen for today.

Each group shows the time, teacher, room, a status and a summary of what was recorded:

StatusMeaning
PendingAttendance has not been recorded
PartialOnly some students have been recorded
RecordedThe session roster is complete
Not heldThe session was cancelled or moved
UpcomingAn exam or event that is not open for attendance yet (it opens at its start time)

The summary says what was recorded, e.g. "18 present · 1 absent", "all present (19)", "12/19 recorded" or "19 students · pending".

One-off sessions show an Extra or Makeup badge, in the same colours as the calendar. A day that has only a one-off session still shows the badge. Exams and events show the colour and name of their type.

  1. Change the day with Previous day / Next day, or click the date to choose from a calendar. You can go back up to a year; future days are not available.
  2. Click a card (a group or an exam) to open its student list.
  3. Students without a record yet appear already as Present, with a dashed outline (not saved yet). Change only those who are absent or late and click Save attendance. The first save records all the students in the list. You can optionally add a note for a student (+note).
  4. The All present icon on a group card immediately records the students that have no record yet as present. Correct the absentees afterwards.
  5. Mark everyone present for the whole day records attendance for the groups and exams that are still pending. It asks you to confirm, with the number of groups, exams and students, and finishes with "Attendance recorded for N groups and exams". Items already recorded or corrected are left as they are.

The header shows the progress of the day (e.g. "5/8 groups & exams recorded").

If nothing is scheduled: "No groups are scheduled for this day."

Multi-hour lessons

When a group has consecutive hours on the same day, they appear together as one block and attendance is entered in one grid, with a column per hour and a single save:

  • Each row of the grid is a student. Clicking a cell cycles the status: Present, Absent, Late, Excused.
  • Each column header shows the time and its progress ("x/y recorded" or "Not recorded") and has its own All present button for that hour.
  • The All present (all lessons) button (in the grid and on the block's card) marks everyone present for every hour.
  • Cells with a dashed outline have not been saved yet. Saving is a single button: Save attendance · N, where N is the number of records.
  • Cancelled hours show as Cancelled and do not accept attendance.

Recording one group

You can record attendance for every group, even when no teacher is assigned. Admins who also teach still see every group in the institution — not only their own classes.

For a single group:

  1. Open the group details and click Παρουσιολόγιο (roll call), or pick its row on Day Attendance.
  2. Choose the session date. Only days with a lesson appear, for the last 30 days; the Show older dates switch reveals older ones. A green dot means All lessons recorded and a yellow dot Partially recorded.
  3. Set a status for each student and save:
    • If the day has one session, its time is shown ("Only lesson of the day") together with the student list.
    • If it has more than one, you get the grid with a column per hour and a single save (see "Multi-hour lessons" above).

The form is the same one teachers use.

Attendance States

StateBadge ColorMeaning
PresentGreenThe student attended the class normally.
AbsentRedThe student was absent from the class.
ExcusedSchool theme colourThe student was absent, but a justification has been submitted.
LateYellowThe student arrived late.
Tip

You can mark all students as Present in bulk (in a group's form, with the Present button under Quick Mark All; on Day Attendance students already start as Present) and then change only the absent students to save time.

Exam & Event Attendance

For exams and events that take attendance, attendance is recorded:

  • from the Day Attendance screen, where the exam appears next to the groups (see above), or
  • from the exam's details sheet in the Calendar, with the Attendance button.

In both cases students appear already as Present and you only correct the exceptions. You can filter the list by group or search for a student. Attendance opens on the day of the exam (if it has a time, from its start time).

Absence Notifications

When a student is marked as Absent, the system can automatically dispatch a notification (SMS or Email) to their guardians, depending on your school's configuration.

Note

Automatic absence notifications can be enabled from Settings → Notifications (Attendance topic for the Parent role).
